A practical workflow for moving from prototype to repeat order without losing the approved geometry, material, print direction, packaging or label details.

Why a good sample can still become a bad repeat order

A buyer may approve a sample, then receive later parts with a small dimensional, material or production change that affects fit. The problem is often not intentional quality reduction; it is the absence of one controlled definition of the approved product.

Give the product a model and revision

The model identifies the commercial product. The revision identifies the approved technical state. For example, a shelf bracket can remain model SX176 while its internal drawing moves from revision A to revision B after an agreed improvement. Packaging should change only when the compatibility or customer instructions require it.

Use a clear approval sequence

  1. Concept: confirm the intended function and panel dimensions.
  2. Prototype: test basic fit and identify required changes.
  3. Pre-production sample: use the intended material, process and final drawing.
  4. Complete retail sample: include final colour, label, package and instructions.
  5. Production reference: freeze the approved files and record the approval date.

Do not hide small changes inside the same file

If a clamp width, wall thickness, screw feature or contact rib changes, create a new revision with a short reason. Replace ambiguous filenames such as “final-new-2” with a consistent structure containing model, revision and date.

Check repeat orders against the approved state

  • Confirm the purchase order names the model and revision.
  • Compare first-off parts with the approved sample or drawing.
  • Verify material, colour and production orientation.
  • Scan EAN and confirm the unit quantity in each package.
  • Check installation instructions match the supplied mechanism.

Assign ownership at each hand-off

Version control works only when one person owns the decision at each stage. Product development should own fit drawings and technical revisions; purchasing should place the correct model and revision on the purchase order; the supplier should confirm the production file; and quality control should compare first-off parts with the approved reference. Brand or e-commerce teams should own retail copy, barcode and instruction changes that follow a technical revision.

Set a rule for incomplete approvals. For example, a buyer may allow prototype production from a draft drawing but require a signed pre-production sample before a full order. Record that limitation in the order rather than relying on a chat message. This makes responsibility clear when staff, factories or fulfilment partners change between the original sample and a repeat run.

When a revision needs a new SKU

A technical revision can keep the same SKU when it is fully interchangeable and does not change customer compatibility. A new SKU is safer when fit, size, colour, included parts or customer instructions create a different sellable item. The buyer’s inventory system and barcode owner should make the final decision.

Version control may feel administrative, but it protects the exact details that make an acoustic panel accessory fit. It also gives the supplier and buyer a shared reference when production is repeated months later.
