Why a structured RFQ gets a better quotation

A photo and a target price are rarely enough for an acoustic panel accessory. Fit depends on the panel profile, while the final cost can change with material, packaging, labels, colour and order volume. A structured request for quotation helps a supplier separate confirmed requirements from assumptions and reduces repeated questions.

1. Buyer and project information

Attach a cross-section drawing and several photographs with a ruler or caliper visible. If the range must fit more than one panel, list each profile separately rather than combining them under “universal”.

3. Product and use requirements

  • Accessory type: hook, holder, shelf bracket, shelf or planter
  • Overall product dimensions and shelf projection
  • Object to be held and its normal position
  • Target working load for the complete installed configuration
  • Preferred no-drill, screw-tightened, spring or other mounting method
  • Required colour, finish and material

A working load request should describe where the object sits. The same mass at the front edge of a deep shelf creates more leverage than it does close to the wall.

4. Quantity and commercial options

Separate the quantities so the supplier can quote the correct stage:

  1. Prototype quantity for fit review
  2. Sample quantity for internal or customer approval
  3. First production order
  4. Estimated repeat order or annual volume

Also state whether the request concerns an existing SANHANG model, a size adjustment, a private-label version or a completely new structure. These options have different development work and minimum quantities.

5. Packaging, label and documentation

  • Bulk pack or individual retail box
  • Units per sellable package and per outer carton
  • EAN/GTIN, SKU and model label requirements
  • Logo files and brand colour references
  • Instruction sheet language and dimensions
  • Requested technical or material documents

6. Ask for a quotation with stated assumptions

A useful supplier response should repeat the panel dimensions used for pricing, name the proposed material and process, and separate one-time development costs from unit prices. It should also identify the quoted quantity tier, packaging basis, lead-time starting point and whether freight or taxes are included. If any fit dimension is missing, the quotation should mark compatibility as pending rather than implying that a photographed panel has already been approved.

For a new design, request separate milestones for drawing review, prototype fit check and pre-production approval. For an existing model, ask the supplier to provide the controlling fit dimensions and confirm whether the current production revision matches the sample. Buyers comparing a standard range can also review the wholesale accessory programme before deciding which items belong in the first RFQ.

Final check before sending

Make sure dimensions use one unit, photographs match the drawing and the quantity refers to pieces, sets or retail packs. Ask the supplier to identify any assumptions in the quotation. This creates a clearer record for sampling, price comparison and later production approval.

When the request is ready, use the project enquiry form to send the commercial brief and note that dimensioned drawings or panel samples are available. Sensitive attachments can then be exchanged through the agreed business channel.
